Graduation



Welcome to the Faculty of Extension’s Graduation site.

Pending successful completion of certificate or citation requirements, students who apply will graduate on June 8, 2012.

In the following you will find general graduation information, timing of the Spring graduation ceremony, how to arrange for guest tickets and how to apply for your certificate / citation. Questions about graduation and the graduation ceremony should be directed to the Faculty of Extension Registration Office at 780.492.0999 or extngraduation@ualberta.ca.


1. Preparing for graduation

Continuing Education students who expect to complete the requirements of their certificate or citation program by the end of the winter term must apply for Graduation on Bear Tracks under the Academics > My Academics > Graduation.

Bear Tracks will be available for students to apply for Spring Graduation between:

  • December 1 and February 1

Students will consult with the Faculty of Extension if they wish to graduate from a program in which they are not currently enrolled.

  • Deadline: February 1

  • Submit your application when you are registering for your final certificate or citation course

  • A cumulative grade point average of at least 2.0 is required to obtain the certificate/citation. Certificate program students with a cumulative grade point average of 3.5 or more will graduate “With Distinction.”

  • If the Bear Tracks deadline date has passed, complete and return the Graduation Application whether or not you plan on attending the annual graduation ceremony (held in June).

2. Check the date for your graduation ceremony

University of Alberta convocation/graduation ceremonies are held in the Northern Alberta Jubilee Auditorium located on 114 Street and 87 Avenue.

Date: June 8, 2012

Time: 3:00 pm

Guests and graduates must be seated at least ten minutes prior to the start of the ceremony in preparation for the Academic Procession.

The ceremony is approximately one and one half hours long.

3. Update your intention to attend your graduation ceremony

If you are attending the Graduation ceremony

Indicate that you are attending your Graduation ceremony in Bear Tracks (under “Graduation Status”) to ensure that a seat is reserved for you with your fellow graduates. You may change your selection in the future if your plans change.

If you are not attending the Graduation ceremony

Indicate that you are not attending your Graduation ceremony in Bear Tracks (under “Graduation Status”).

If you wish to pick up your parchment in person, you may do so beginning June 11th, 2012, ending June 15th, 2012, at the Faculty of Extension Registration Office on the main floor of Enterprise Square (10230 Jasper Ave). After the pick up dates, any remaining parchments will be mailed to the current address on the student record. Ensure that your current address is correct in Bear Tracks.

4. Pay any outstanding fees

Parchments and other official documentation will not be released to students who have outstanding accounts with the University. Therefore, you are urged to clear all outstanding accounts at least two weeks prior to Graduation to ensure that your parchment is available. Use Bear Tracks to check your account.

5. Pick up your tickets

Graduation Protocol

One June 8, 2012, graduands must visit the reception desk set up in the lobby of the Jubilee Auditorium to sign in. Continuing Education graduates are not required to wear academic apparel. Semi-formal / business casual attire is appropriate for the ceremony.

Name Card and Ticket

At the ceremony, you will hand the Name Card to the official reader, who will read your name as it is printed on this card. The ticket is an assigned seat to place you in the order that graduands cross the stage; this ticket is in addition to tickets for your guests.

Graduates are required to pick up their name card and tickets prior to 2:15 pm on the date of the graduation ceremony.

Guest Tickets

Guest tickets are reserved for each graduand who advises us of their intention to attend the ceremony. There is no cost associated with graduate or guest tickets. Four guest tickets are reserved for graduands who advise us of their intention to attend the ceremony. Guest Tickets are given out to the graduands when signing in. We regret that we are unable to accommodate any advance requests for extra tickets.

As the number of available guest tickets is projected according to past attendance records, the actual number of additional seats available is not known until graduands begin to pick up their tickets. Any guest tickets not distributed will be made available at the reception desk at the Jubilee Auditorium shortly after 2:15 pm and are distributed on a first-come, first-serve basis. All seating is assigned in the Jubilee Auditorium and all guests must have a ticket to enter the ceremony area. Ushers will be available to assist with seating.

6. General graduation information

This section will provide you with the information you need for your Graduation ceremony, from apparel to memorabilia.

Ceremony Dates and Times

All University of Alberta Graduation ceremonies are held at the Northern Alberta Jubilee Auditorium located at 11455 – 87 Ave in Edmonton Alberta

Accessibility Requirements

If you or any of your guests require arrangements or special seating or other disability related assistance, sign language interpreting services, Braille or large print materials, please contact Specialized Support and Disability Services or phone: 780.492.3381 or TTY: 780.492.7269 (for deaf or hard of hearing callers) by May 8, 2012. To receive any prearranged services, go to the University of Alberta’s Accessibility Services booth found on the main floor of the Jubilee Auditorium on the day of the graduation ceremony

Parking

Barrier-free spaces are available on the east side of the auditorium and surface parking is available on the south side of the auditorium. Motorists can access the Jubilee car park from 83rd or 87th Avenue.

A parking fee will be charged to park during the ceremony. See Parking Services for details including a map of parking available on campus.

Public transit may also be a more favorable alternative to parking.

Refreshments

At the conclusion of the ceremony, graduates and their guests are invited by the University of Alberta and the Faculty of Extension for light refreshments in the lobby.

Graduation Announcements

The Faculty of Extension would like to advise your firm, or anyone else you specify, or your accomplishment. Please take a moment to complete the form and fax it to 780.492.0627. Please note that a maximum of two announcements per graduate will be distributed.

An advertisement will be placed in the University of Alberta’s Folio and the Edmonton Journal to congratulate our graduates.

7. Graduation memorabilia

Photographs

The University has contracted a professional photographer, GradTrak Graduation Images, to take your photograph as you receive your parchment on the day of your graduation. A passport-sized, full-color proof will be mailed to you after the ceremony. There is no obligation to purchase, and you will have the option of ordering several enlargement packages at reasonable prices. GradTrak Grad Images guarantees complete satisfaction with your photograph or you will receive a full refund. Please contact GradTrak Graduation Images at 1-800-424-3686 for further information. If you do not wish to have your photograph taken, please contact the Faculty of Extension Graduation Coordinator at 780.492.0999.

Freedom of Information and Privacy of Privacy Act Notification:
The University of Alberta will provide your contact information (name and mailing address) to GradTrak Graduation Images (the Contractor). In accordance with the University’s agreement with the Contractor, the Contractor will not share your personal information with any other companies. The Contractor will use your information to contact you to market and sell photographs in accordance with their business practices. As GradTrak is an American company, your information will be stored in the United States and will be subject to applicable American law, including the Patriot Act. If you object to having your photograph taken or to the University providing your contact details to the Contractor, please direct your concerns to the FOIPP Officer, Faculty of Extension, University of Alberta, Edmonton AB T5J 4P6. Parchment Frames

For your convenience, the University of Alberta Alumni Association will be set up at the Jubilee Auditorium on the Graduation date if you wish to purchase a frame for your parchment while attending your ceremony. The frames are available in six styles ranging from $72 - $202 and feature the green matting embossed with a gold University crest. Proceeds from the frame sales support student and alumni programs of the Alumni Association. To view these frames, please go to Alumni frames.
